1. Overview
IRU Vote ("we", "our", or "us") is operated by IRU Business Group Ltd, based in Gahanga, Kicukiro, Kigali, Rwanda. This policy describes how we collect and process payments for platform subscriptions and services, how billing works, and under what conditions refunds may be issued. By subscribing to any paid plan, you agree to the terms outlined below.
2. Accepted Payment Methods
We currently accept the following payment methods:
- Mobile Money: MTN Mobile Money and Airtel Money (Rwanda)
- Bank Transfer: Direct bank transfer to our business account (contact us for details)
- Online Payments: Processed securely through Paypack, our licensed payment partner
All transactions are processed in Rwandan Francs (RWF). For international clients, pricing may be quoted in USD and converted at the prevailing exchange rate at the time of payment.
3. Subscription Plans & Billing Cycles
- IRU Vote offers subscription plans as listed on our Pricing page. Plans may be billed on a per-election, monthly, or annual basis depending on the package selected.
- Billing begins on the date your subscription is activated and renews automatically at the end of each billing period unless cancelled.
- You will receive an email notification at least 7 days before your subscription renewal date.
- Failure to pay a renewal invoice within 7 days of the due date may result in suspension of your account and access to election data.
- Annual subscriptions are billed upfront for the full year and are non-transferable.
4. Invoices & Receipts
An invoice or payment confirmation will be sent to your registered email address upon each successful payment. If you require a formal invoice with VAT or tax details, please contact us at support@iruVote.com before or after making payment. IRU Business Group Ltd is registered in Rwanda and complies with applicable tax regulations.
5. Plan Upgrades & Downgrades
- Upgrades: You may upgrade your plan at any time. The price difference is calculated on a pro-rated basis for the remaining billing period.
- Downgrades: Downgrading takes effect at the start of the next billing cycle. No partial refunds are issued for the unused portion of a higher-tier plan.
- Plan changes can be initiated by contacting our support team or through your account settings (if available).
6. Refund Policy
We aim to be fair and transparent in all refund decisions. The following conditions apply:
- 14-Day Money-Back Guarantee: New subscribers on any paid plan may request a full refund within 14 days of their first payment, provided no elections have been created or conducted under the subscription.
- Service Outage Refunds: If IRU Vote experiences a verified platform outage during an active election window that prevents voters from casting votes, we will assess the impact and may issue a partial credit or refund at our discretion.
- Non-Refundable Situations: Refunds will not be issued for:
- Subscriptions that have been used to conduct at least one election
- Cancellations made after the 14-day guarantee period
- Accounts suspended for violations of our Terms of Service
- Per-election packages after the election has been created
- Annual Plans: Annual subscriptions are not eligible for refunds after 14 days, except in exceptional circumstances reviewed on a case-by-case basis.
7. How to Request a Refund
To request a refund, email us at support@iruVote.com with:
- Your registered account email address
- The date of payment and the amount paid
- The reason for the refund request
We will review your request and respond within 5 business days. Approved refunds are processed back to the original payment method within 7–10 business days, subject to your bank or mobile money provider's processing times.
8. Cancellation
You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period — you will retain access to the platform until then. To cancel, contact us at support@iruVote.com or through your account dashboard. Cancelling does not automatically trigger a refund unless you are within the 14-day guarantee period.
9. Disputes & Chargebacks
We encourage you to contact us first before initiating a chargeback or payment dispute with your bank or mobile money provider. Unauthorized chargebacks may result in immediate account suspension. IRU Vote reserves the right to dispute any chargeback that we reasonably believe is fraudulent or unwarranted, and to provide transaction evidence to the payment processor.
10. Changes to This Policy
We may update this Payment, Billing & Refund Policy from time to time. Any material changes will be communicated via email or posted on this page with an updated date. Continued use of the platform after changes are posted constitutes your acceptance of the revised policy.
